Are you CPAs?

No, and we say so on the homepage rather than burying it. Xelvon Tax Advisors LLC is not a certified public accounting firm and is not a law firm; nobody here is a CPA, an attorney or an enrolled agent, and we are not licensed by the Utah Board of Accountancy or any state board of accountancy. Returns we prepare for a fee are signed by a paid preparer holding a current IRS Preparer Tax Identification Number (PTIN). Preparing and e-filing federal and state returns, keeping books, running payroll and planning ahead do not require a CPA licence, and that is exactly the work we do. What we do not do is audit, review or compile financial statements, give legal or investment advice, or represent you before the IRS. When a matter needs one of those, we say so early and help you find the right person.

Everything is online — how does that actually work?

The same way it works in an office, minus the drive. You upload documents to an encrypted portal from your phone or laptop, we ask questions by email or text, and we walk you through the finished return on a phone or video call before anything is filed. You sign electronically. Most clients spend well under an hour of their own time from start to finish.

How much will my return cost?

You will know before we start. Every engagement gets a flat, written quote — no hourly billing and no invoice at the end that is bigger than you expected. Individual returns start at $295 for a W-2 return with the standard deduction, including one state return and e-filing; business returns start at $520. Additional states, extra rental properties, additional K-1s and foreign reporting are priced separately and appear on your quote before you commit. What states do you serve?

We prepare federal returns for taxpayers anywhere in the United States, and state returns for every state except those listed here. A small number of states license or register tax return preparers, and we do not offer services there until our registration is in place. We cannot currently prepare any returns for residents of Connecticut and New York, where a state preparer registration is required before a firm may prepare returns or advertise. We cannot currently prepare individual income tax returns for residents of Maryland and Oregon; business and fiduciary returns for those states are outside that restriction. We are based in Utah and work with multi-state filers, people who moved mid-year, and remote workers who owe tax in a state they have never set foot in.

What if you make a mistake?

If a mathematical or data-entry error made by us causes an IRS or state penalty or interest charge you would not otherwise have owed, we pay that penalty and interest, amend the return at no charge, and handle the correspondence at no charge. It does not cover the underlying tax you legitimately owe, errors caused by information we were not given or were given incorrectly, positions you asked us to take against our advice, or late-filing penalties caused by delays that were not ours. Claims must reach us within 30 days of the notice date and are capped at the greater of the fees paid for that engagement or $2,500 per return. Can you help if I have not filed for a few years?

Yes, and it is more common than you think. We pull your IRS wage and income transcripts to reconstruct what was reported about you, prepare the missing years in order so carryforwards flow correctly, and where the facts support it we prepare a penalty relief request for you to sign. Most people are surprised by how much less it costs than the worry.

How long does a return take?

Typically five to ten business days from the moment your documents are complete, and often faster outside the March-to-April crunch. An engagement started within ten days of a deadline carries a $250 rush fee, which we will tell you about before you agree to anything.

Do you take your fee out of my refund?

Never. Refund-transfer products carry extra bank fees, delay your money and are a bad deal for you. You pay us directly by card or bank transfer, and the IRS deposits your refund straight into your own account.

Is my information safe?

We encrypt client information in transit and at rest, require multi-factor authentication, and maintain a written information security program as the FTC Safeguards Rule and IRS Publication 4557 require of paid tax return preparers. Documents move through the portal rather than plain email, because ordinary email is not encrypted and a mailbox is a permanent archive. No firm can promise that a breach is impossible; what we can tell you is what we do about it, and what we would do if one happened, which is set out on our security page. We also will not use or disclose anything from your return for any purpose beyond preparing it without your separate written consent, as Internal Revenue Code section 7216 requires.

What if I get an IRS notice later?

Send it to us. We read it, pull your transcripts with your written authorisation, tell you what it actually means, and draft a written response for you to sign and send, with the supporting documents attached. If the notice was caused by our error, all of that is free.

Can you represent me in an audit?

We do not have authority to represent clients before the Internal Revenue Service. We can prepare and explain a written response for you to sign and send yourself, and we will refer you to a certified public accountant, an enrolled agent or a tax attorney when a matter needs one. In practice that still covers most of what people need from a notice: reading it, checking it against your transcripts, recalculating the liability, reconstructing records, and preparing the written response and any penalty relief request for your signature. What we will not do is imply we can appear for you when we cannot.

When should I get started?

Sooner is cheaper. Tax planning only works while the year is still open, missing returns get more expensive the longer they sit, and January to April is when the calendar fills. If you are reading this in the off-season, that is the best possible time to switch preparers.

Individual Tax Preparation

Can you file a return for a state I no longer live in?

Yes. Part-year resident and non-resident returns are routine for us, including the credit for tax paid to another state that stops you being taxed twice on the same income. Multi-state filers are one of the groups we see most, because it is exactly the situation consumer software handles worst.

What if I already filed and think something is wrong?

Send us the return. We read it at no charge and tell you honestly whether amending is worth it — sometimes it is not, and we will say so. If it is, an amended return where someone else prepared the original is $395, and we handle the correspondence that follows.

Do I need to send you original documents?

No. Clear photographs taken on your phone are fine for almost everything. You keep the originals; the IRS wants you to hold them for at least three years, and we will tell you which ones to keep longer.

How fast can you turn a return around?

Business Tax Preparation

My books are a mess. Do I need to fix them before you can start?

No — that is work we do. Catch-up and clean-up bookkeeping is priced at $245 per month of backlog, with a three-month minimum, quoted as a fixed total before we begin so you know the whole cost upfront. In practice it is often faster and cheaper than a business owner trying to reconstruct it themselves.

Can you handle a first-year business?

Yes, and the first year is the one most worth getting right. Start-up cost elections, the accounting method, depreciation elections and whether an S-corporation election makes sense are all decided once and then live with you for years.

What if I have partners in different states?

That is normal and we handle it. State-by-state apportionment, non-resident withholding and composite return elections are all part of the engagement. Additional state business returns are $145 each and appear on your quote before you commit.

Do you file the state franchise or annual report too?

State income and franchise tax returns are included in the return fee for the first state. Secretary of State annual reports and registered-agent renewals are administrative filings rather than tax returns — we will remind you when they are due and can file them with you, but they are not automatically part of the return engagement.

Can you help me decide whether to elect S-corporation status?

Yes, and we will give you a straight answer including the cases where it costs more than it saves. The entity election analysis is $495 and models the real net benefit after payroll costs, the extra return, state fees and unemployment insurance. If the answer is no, we tell you no.

Bookkeeping

Service details
Which accounting software do you work in?

Whichever you already use, in almost every case. If you are starting from nothing we will recommend something that fits the size of the business rather than the size of our convenience — and the file belongs to you, not to us, so you are never locked in.

Do I have to hand over my bank login?

No, and please do not offer it. We work from read-only bank feeds or from statements you upload to the secure portal. Nobody at Xelvon needs the ability to move money in your accounts, so nobody has it.

How many transactions am I actually running?

Most people underestimate. Count every line that hits your business bank and card accounts in a typical month, including transfers and small subscriptions. If you land between tiers, tell us and we will look at three months of statements and quote the right one — and if you are consistently under, we move you down.

Can you do bookkeeping without doing my taxes?

Yes. Every service here is priced and sold separately. Plenty of clients keep a CPA for the return and use us for the books; we will hand over a clean year-end package in whatever format they want it.

What happens if I want to leave?

You give 30 days’ written notice, any prepaid months are refunded in full, and you get your complete file — the accounting data, the reconciliations and the supporting documents. Holding a client’s records hostage is a practice we find indefensible.

Payroll & Contractor Filings

Can you take over an existing payroll mid-year?

Yes, and it is common. We migrate year-to-date wage and tax figures so the W-2s at year end are correct and complete, and we reconcile them against what has already been filed on Forms 941 before the first run.

What if I only pay myself?

That is the most common payroll we run. A single-owner S-corporation still needs a real payroll with real filings, and the base fee covers it. It is also the setup where getting the wage figure right matters most.

Do you handle contractors as well as employees?

Yes. We collect W-9s, track who crosses the reporting threshold during the year, and file the 1099-NECs. We will also tell you honestly if someone you are treating as a contractor looks like an employee under the tests the IRS and your state apply — that misclassification is expensive to unwind.

Who is responsible if a payroll filing is late?

If the delay is ours, our accuracy guarantee covers the penalty and interest and we deal with the notice. If we cannot file because information did not reach us in time, it is not covered — which is why we chase, and chase early. The full terms are on the payment and guarantee page.

Can I keep my current payroll software?

Usually, yes. We will work in the system you already have if it is fit for purpose, or recommend one if you are starting out. Either way the account is yours and you keep access to it.

Tax Planning & Estimates

When is the best time to do this?

For most people, September through November. Late enough that the year is largely known, early enough that a retirement plan can still be opened, income can still be shifted and a withholding change still has months to work. Planning done in January for the year just ended is not planning, it is reporting.

Is planning included if you prepare my return?

Next year’s quarterly estimated payments are included free with any self-employed or business return. A full mid-year projection with modelled scenarios is a separate engagement at $395, because it is genuinely separate work.

Will you tell me if planning is not worth it for me?

Yes, and we do, regularly. If you are a W-2 employee taking the standard deduction with no side income, there is very little to plan and we will say so rather than sell you a projection. Charging for advice that cannot save anyone money is not a business we want.

What is a reasonable compensation analysis?

A written study supporting the wage an S-corporation owner pays themselves, based on what the work would cost to hire rather than a percentage rumour. It matters because too low invites reclassification and too high wastes the election, and because the figure interacts with retirement contributions and the qualified business income deduction.

Can you help with a year that has already gone strange?

Usually, yes — and sooner is much better. Once the year closes, options narrow sharply, but they do not vanish entirely. Retirement contributions for some plan types, IRA contributions and certain elections remain available after December 31.

IRS & State Notice Help

The notice has a deadline in ten days. Can you help that fast?

Usually. Send it the moment you have it — a photograph of every page, including the back. Most notices allow a response window of 30 days from the date printed on the letter, and where more time is genuinely needed an extension can often be requested. Do not let the date pass in silence; that is the one move with no upside.

Do you need to have prepared the return to help?

No. We help plenty of people with notices on returns prepared elsewhere or by themselves. It does affect the limited representation question described above, but reading, analysing and drafting a written response for your signature does not depend on who prepared the original return.

What does it cost?

A straightforward notice reviewed with a written response drafted for your signature is $195. A CP2000 underreporter response, which means reconciling every income item against your transcripts, is $495. A penalty abatement request is $350, and transcript retrieval and analysis is $195. If the notice was caused by an error we made, all of it is free and we pay the penalty and interest as well.

Should I call the IRS myself first?

Generally, wait. Hold times are long and it is easy to say something unhelpful about a document you have not fully understood yet. Read it, get the transcripts, work out what is actually being asserted, then decide. Anything you say cannot be unsaid.

What about a state notice rather than a federal one?

Same process, and often the same underlying cause — many state notices are triggered automatically by a federal adjustment. We handle state correspondence at the same rates.
