Bookkeeping is not data entry. It is the decisions inside it.
Bank feeds automate the typing. What they cannot do is decide whether a $4,000 payment is a repair or a capital improvement, whether a transfer to your personal account is a draw or a wage, whether that Stripe deposit is net of fees you have not recorded as an expense, or whether the loan payment is entirely interest or mostly principal.
Those decisions are the actual work, and getting them wrong is how a set of books ends up producing a profit figure that does not resemble the business. A profit and loss statement is only worth reading if the categorisation underneath it was done by someone who understood what the transaction was.
Being behind is a solvable problem with a fixed price
The most common reason people put off calling a bookkeeper is not the monthly fee. It is the fear that the catch-up bill will be open-ended.
So we quote it as a fixed total. We look at how many months are outstanding and roughly how much activity is in them, and give you one number for the whole clean-up before we touch anything — $245 per month of backlog is the standard rate, with a three-month minimum, and it does not move once agreed. When you are current, you roll into a monthly plan and stay there.
Catching up also has a habit of paying for itself. Deductions that were never recorded, subscriptions that were cancelled but never stopped billing, duplicate payments, and sales tax that was collected but sits unrecognised — clean-up work surfaces all of it.
What we do not do, and why we say so
We prepare financial statements for your internal management use. We do not perform audits, reviews or compilations, and we do not issue any report that provides assurance on your financial statements — those are attest services, and they require a licensed CPA. Xelvon is not a CPA firm.
For the overwhelming majority of small businesses this makes no practical difference: management accounts, lender-requested profit and loss statements marked as unaudited, and the books behind a tax return are all work we can do. If a bank, an investor or a buyer specifically requires reviewed or audited statements, we will tell you plainly that you need a CPA for that piece and hand over clean records to whoever you engage. About bookkeeping.
Which accounting software do you work in?
Whichever you already use, in almost every case. If you are starting from nothing we will recommend something that fits the size of the business rather than the size of our convenience — and the file belongs to you, not to us, so you are never locked in.
Do I have to hand over my bank login?
No, and please do not offer it. We work from read-only bank feeds or from statements you upload to the secure portal. Nobody at Xelvon needs the ability to move money in your accounts, so nobody has it.
How many transactions am I actually running?
Most people underestimate. Count every line that hits your business bank and card accounts in a typical month, including transfers and small subscriptions. If you land between tiers, tell us and we will look at three months of statements and quote the right one — and if you are consistently under, we move you down.
Can you do bookkeeping without doing my taxes?
Yes. Every service here is priced and sold separately. Plenty of clients keep a CPA for the return and use us for the books; we will hand over a clean year-end package in whatever format they want it.
What happens if I want to leave?
You give 30 days’ written notice, any prepaid months are refunded in full, and you get your complete file — the accounting data, the reconciliations and the supporting documents. Holding a client’s records hostage is a practice we find indefensible.
